Nine Twenty's client have an opportunity within their Market Service Department, East Kilbride, for an Export Administrator.  Reporting to the Market Services Team Leader, the principal job functions are as follows:

 

The purpose of this role will be to assist in the forecast of sales demand and to process all order documentation accurately and within the necessary timeframe ensuring delivery of consignment and documents meet customer requirements in all aspects.  Provide information relating to forecast, orders, shipments, products, pricing and documentation to internal and external customers.

 

Daily Tasks & Responsibilities:

 

  • Check customer payment and credit status is satisfactory and liaise with Credit Controller on any action required.

  • Prepare documentation and certification required for product registrations.

  • Provide administration support to business complaints forum.

  • Manage the commercial relationship and associated revenue targets for European customers.

  • Liaise with commercial team to maintain and review supply and demand by customer.

  • Maintain master data relating to customer or product pricing.

  • On receipt of order, verify customer's specific requirements and ensure that all the customer requests relating to the order are actioned.Seek and obtain any necessary additional information from customer and verify at the earliest possible stage that both the order (in terms of product specification, allocation, pricing and load configuration) and the arrangements for delivery of goods meet the customer needs in all respects.

  • Process order and if product is not in stock liaise with Planning Dept. to establish precise availability date.

  • Process sample orders and required documentation and monitor delivery status until goods have arrived intact at final destination.

    Liaise with transport suppliers to arrange for transport quotations as required and the delivery of the order ensuring that the delivery of the consignment meets customer’s requirements in all respects.

  • Raise invoice following the dispatch of order and prepare all related import / export documentation.

  • Prepare documentation for required certification and legalisation and ensure regulatory HMRC compliance.

 

Required Skills and Experience:

 

  • Ability to build and develop relationships with internal and external customers.

  • Excellent verbal and written communication skills.

  • Analytical skills.

  • Strong IT skills (Excel, SAP/ERP systems).

  • Skills and experience in the areas of import and export administration and UK excise regime advantageous.

  • Energetic and enthusiastic approach.

  • Close attention to detail, accuracy and completeness.
