Office Manager – East Kilbride

(Full time or Part-time, School Hours Friendly)

My client is a renowned manufacturing company dedicated to producing exceptional products of the highest quality. As they continue to grow, they are seeking an experienced and highly organised Office Manager to join the team.

Job Description:

As an Office Manager, you will play a crucial role in ensuring the smooth and efficient operation of the office. You will be responsible for overseeing administrative tasks, managing office supplies, coordinating with various departments, and providing general support to the team. This position can be full-time or part-time and offers flexible hours that can accommodate school schedules.

Responsibilities:

  • Onboarding new employees
  • Support HR administration tasks
  • Greet visitors, answer phone calls, and respond to emails professionally and promptly.
  • Assisting the Chairman (and potentially other directors) with travel bookings when required
  • Set up a system to ensure consumable supplies for the offices, cleaning and maintenance contractors remain in good and timely supply
  • Oversee inventory management, order office supplies, and maintain appropriate stock levels.
  • Handling and sorting incoming post and parcels, distributing scans via email / shared folders to the relevant persons.
  • Managing the IT/Phone systems with the relevant suppliers
  • Assisting Directors with reviewing staff hours monthly and recording any absences and passing over relevant info to the accounts team ahead of payroll.
  • Collaborate with different departments to support their administrative needs.
  • Identify and implement process improvements to enhance office efficiency.
  • Perform other ad hoc administrative tasks as required.

Experience required:

  • Basic HR knowledge
  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • Excellent organizational and multitasking skills with great attention to detail.
  • Strong written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Self-motivated and able to work independently as well as collaboratively.
  • A proactive problem solver with the ability to prioritise tasks effectively.
